We are seeking an experienced and capable Office Administrator to support a busy construction business based in Dunedin.
This permanent role is integral to the smooth running of concurrent projects and office operations, and will suit someone with prior experience in the construction or building sector who understands industry processes and terminology.
Key Responsibilities
- General office administration and day-to-day office management
- Assist with the preparation of client quotes, proposals, and supporting documentation
- Assist with the preparation and submission of plans, documentation, and applications to council
- Managing project variations, including documentation, tracking, and client communication
- Monitoring and administering contract retentions
- Maintaining accurate job files, document control, and compliance records
- Invoicing, debtor management, creditors, bank reconciliation
- Managing incoming calls, emails, and correspondence
- Liaising with clients, suppliers, subcontractors, and project managers
Skills and Experience
- Proven experience in an office administration role ideally from the construction industry
- Understanding of construction process - documentation, quoting, variations, and retentions
- Experience with council processes and submissions is highly desirable
- Strong organisational skills and attention to detail
- Ability to manage multiple tasks and deadlines independently
- Confident user of Xero and Microsoft Office
- Clear, professional communication skills
